3 Calendar Management Tips for Solo Attorneys

Calendar Management is prioritizing your tasks and meetings to maximize the day. Effective calendar management requires strategy. Analyze the client’s day with efficiency in mind. Here are three tips to make scheduling a breeze.

Establish Routine

Categorize your calendar in blocks based on the time of day. For instance, place all things you usually do in the morning under Morning Routine in your calendar, all things you do in the afternoon under Afternoon Routine and the same for End of Day. Here you will have a clearer picture of what your day looks like and where you can make adjustments if need be.

Estimate your time

Now that you established a routine and put them all in your calendar in their proper place. Time how long it takes you to do a routine. Try this for a week. Record your time. This will allow you to see exactly how much time you spend on each task and if you need to add on additional time or not. This will give you a clear understanding of where you spend the majority of your time and where you will need to make improvements.

Learn how to say no

Don’t allow constant interruptions. Give yourself about 2 to 3 hours a day to not allow any interruptions. Don’t pick up the phone or respond to that email unless it’s outside the 2 to 3 hours block time. Here at Virtually Handy we recommend that phone calls and email correspondence should be done either at the beginning of your work day or at the end.

If you are new to calendar management these three tips will help you jumpstart to managing your calendar like a pro. I cannot stress enough how important it is to review previous calendars ( we recommend up to 3 months). Mastering your calendar management is crucial to maintaining your productivity and growth of your firm. Understand what’s happening in your business and what needs prioritizing. This is key to putting tasks in order. Consider automating some of your tasks like client intake and onboarding. Remain consistent. Remember if you want to be that Super Attorney, and help your clients with your cases as much as possible you have to look at your time and how you manage it.
